Inspection Standards & Service Rules

These definitions clarify what HCHA observes, reports, and communicates.

Inspection Definition

  • Visual, non-invasive observation only
  • No system testing or operation of equipment
  • No disassembly or technical diagnostics
  • No guarantee of issue detection

Risk Flag Classification

  • 🔴 Immediate attention recommended
  • 🟠 Monitor closely / potential escalation
  • 🟡 Minor observation
  • 🟢 No issue observed

When Issues Are Identified

  • Issues are documented with photos and description
  • Risk level is assigned
  • Recommended next steps are provided
  • Owner determines action and vendor engagement

Property Access

  • Interior inspections require a working access method
  • Acceptable access may include key, lockbox, or smart lock
  • If access is unavailable, inspection is limited to exterior only

Environmental Limitations

  • Inspections may be limited by weather, snow conditions, or access restrictions
  • Observations are based only on visible and accessible areas at time of visit

Communication

  • Reports are delivered via email
  • Follow-up clarification available for Signature plans
